Privacy Policy

Last updated: 23 October 2026

Humanalyse (“Humanalyse”, “we”, “our”, “us”) provides an AI-powered Training Needs Assessment (TNA) platform. An AI interviewer holds structured, competency-based conversations with employees, and the platform turns those conversations into individual and organisation-level training reports. This Privacy Policy explains what personal data we handle, why, and the choices available to you. It covers our website humanalyse.com, the Humanalyse application, and the AI interviews run through it.

1. Who this policy applies to

  • Website visitors who browse humanalyse.com or request a demo.
  • Client users: HR, Learning & Development and other administrators at organisations that use Humanalyse (“Clients”).
  • Participants: employees or candidates whom a Client invites to take an AI interview.

2. Our role

For website visitors, demo requests and Client user accounts, Humanalyse is the controller of personal data.

For Participant data, the Client organisation is the controller and decides why and how the assessment is run. Humanalyse acts as a processor on the Client’s behalf and follows the Client’s instructions and our agreement with them. If you are a Participant, your employer’s own privacy notice also applies, and requests about your data are best sent to your employer first. We will help them respond.

3. Information we collect

3.1 Website visitors and demo requests

  • Demo request form: your name, organisation, work email, phone number (optional) and country.
  • Analytics: pages viewed, how you arrived (for example search, referral or campaign links), approximate location (country or city), device and browser type, and interactions such as button clicks, sections viewed, scroll depth and form starts and submissions. We use Google Analytics for this.

3.2 Client users

  • Name, work email, organisation and role.
  • Login credentials. Passwords are stored only in hashed form.
  • Configuration you add to the platform: competencies, proficiency level indicators, roles, expected levels, TNA cycles and trainings.
  • Usage and security logs, for example sign-ins, actions taken and timestamps.

3.3 Participants (provided by the Client or collected during the interview)

  • Profile data from the Client: name, work email, employee ID, grade or band, role, department and the TNA cycle you are invited to.
  • Interview data: the video and audio recording of your AI interview, the written transcript and the language used.
  • Assessment outputs: AI-generated competency scores, achieved versus expected proficiency levels, gaps, readiness for role, summaries, strengths, development areas, supporting quotes from your transcript, and any training assigned to you.
  • Technical data: browser and device information, camera and microphone permission status, connection quality and session timestamps, used to run and troubleshoot the interview.

We do not ask Participants for sensitive personal data, such as health, religion or political opinions, and interviews focus on work experience. If you volunteer such information during an interview, it may appear in the recording and transcript. It is not used for scoring.

4. How we use information

  • To run the service: send interview invitations, hold the AI interview, transcribe it, score it against the Client’s competency framework, and produce Individual and Cycle TNA reports for the Client.
  • To support Clients: account management, onboarding, troubleshooting and customer support.
  • To respond to demo requests and other enquiries, and to send related business communications. You can opt out at any time.
  • To understand and improve our website through analytics.
  • To keep the service secure, prevent misuse and meet legal obligations.
  • To improve the platform using aggregated or de-identified usage information.

We do not sell personal data, and we do not use Client interview recordings or transcripts to train AI models unless the Client has agreed to this in writing.

5. AI-assisted assessment

Humanalyse uses AI to conduct interviews and to produce assessment outputs. These outputs support the Client’s training and development planning and are designed to be reviewed by people. They are not intended to be the sole basis for decisions about employment, pay or promotion. Each score is linked to evidence from the transcript so that reviewers can check how it was reached. Areas not covered in an interview are marked as “not explored”, not scored as a failure. Participants who have questions about an assessment, or who want a human review, should contact their employer. We will support the Client in providing one.

6. Legal bases

Where data protection laws such as the GDPR or the UAE data protection law apply, we rely on:

  • Contract: to provide the service to Clients and their users.
  • Legitimate interests: to secure and improve our services, respond to enquiries and understand website use, balanced against your rights.
  • Consent: where required, for example browser permission to use your camera and microphone, and analytics cookies where consent is required by law.
  • Legal obligation: where we must keep or disclose information by law.

For Participant data, the Client is responsible for establishing a lawful basis and giving Participants appropriate notice before the interview.

7. Who we share information with

We share personal data only as needed to provide the service, with providers bound by confidentiality and data protection terms:

  • Cloud hosting providers that store and run the platform. For our SaaS service, this is in the European Union.
  • AI model providers that process interview audio and text to run the conversation, transcribe speech and generate analysis. These providers process data only to deliver their service to us and do not use it to train their models under our terms with them.
  • Email delivery providers that send invitations, notifications and account emails.
  • Google Analytics, on our website only, to measure visits and interactions.
  • The Client organisation, which receives the Participant’s reports, recording and transcript.
  • Authorities or advisers when required by law, or to protect our rights, users or the public.

For on-premise deployments, the platform and its data run inside the Client’s own infrastructure, and the Client controls hosting, access and any connected AI model endpoint.

8. International transfers

Our SaaS platform is hosted in the European Union. Some service providers, such as AI model providers, may process data in other countries. When data is transferred outside the country where it was collected, we use appropriate safeguards such as standard contractual clauses, and we limit the data shared to what is needed.

9. How long we keep information

  • Interview recordings: kept for the period agreed with each Client, 90 days by default, then deleted.
  • Transcripts, scores and reports: kept for the duration of the Client’s agreement so that progress can be compared across TNA cycles. They are deleted or returned within 30 days after the agreement ends, or earlier if the Client asks.
  • Client user accounts: kept while the account is active, then deleted.
  • Demo requests and enquiries: kept for up to 24 months after our last contact.
  • Website analytics: kept for up to 14 months.
  • Security logs: kept for up to 12 months, unless needed longer to investigate an incident.

We may keep information longer where the law requires it.

10. Security

We protect data with measures appropriate to its sensitivity, including:

  • Encrypted connections (HTTPS/TLS).
  • Separation of each Client organisation’s data.
  • Role-based access, so that Participants see only their own interview link and Client administrators see only their own organisation.
  • Hashed passwords and expiring sign-in tokens.
  • Restricted staff access, granted only where needed to support the service.

No system is completely secure. If we become aware of a breach affecting your data, we will notify the Client and, where required, affected individuals and authorities.

11. Your rights

Depending on where you live, you may have the right to:

  • access your data;
  • correct it;
  • delete it;
  • restrict or object to its processing;
  • receive it in a portable format;
  • withdraw consent;
  • complain to a data protection authority.

Website visitors and Client users can contact us directly. Participants should contact their employer, which controls their assessment data, and we will help the employer respond. We may need to verify your identity before acting on a request.

12. Cookies and similar technologies

  • Website analytics: our website uses Google Analytics cookies (named _ga and _ga_*) to measure visits and interactions. You can block or delete cookies in your browser settings, or install Google’s analytics opt-out browser add-on.
  • Application storage: the Humanalyse application uses your browser’s local storage to keep you signed in and to remember interface settings. This is necessary for the service to work.

13. Children

Humanalyse is a workplace service. It is not intended for anyone under 18, and Clients must not invite minors to interviews.

14. Changes to this policy

We may update this policy as our services change. We will post the new version here with a new “Last updated” date. If changes are significant, we will notify Clients by email or in the application.
